Job Summary:

We are seeking several Administrative Assistants to work for various departments within our organization.  As the AA, you will be responsible for the overall management of administrative, clerical and operational functioning of the program. All duties will be performed based on professional training and experience with minimal supervision. The AA is a full-time position, directly supervised by the Program Administrator or Designee and is subject to work overtime.

Job Summary: 

Hands Of Healing’s Assistant Program Director is responsible for assisting in the operational, managerial, and administrative duties relating to the program. The Assistant Program Director must maintain a flexible work schedule that may include working hours other than regular work schedule and evenings, weekends and holidays.

Essential Functions:

  • Assist with overall supervision and management of program personnel including recruitment, hiring, training, and terminating.
  • Assist with collection, maintenance and submission of monthly, quarterly, and annual reports to the appropriate personnel at Hands of Healing’s Corporate Office and the Office of Refugee Resettlement (ORR).
  • Review monthly financials with the Program Director, to ensure compliance with operations/contract requirements. Adhere to negotiated annual budget and spending requirements.
  • Monitor the program facility and vehicle maintenance, inventory control and bulk purchases. Maintain a safe, clean and hazard-free environment.
  • Assist with facilitating the established training guidelines and curriculum for employee training.
  • Monitor and maintain compliance with organization, licensing, and funding source for all program departments.
  • Able to react professionally and productively to change and handle other essential tasks as assigned.

Other Functions:

  • Assume the duties and responsibilities of the Program Director in his/her absence or as requested.

Job Summary:

Hands Of Healing’s Case Manager will ensure the safe and timely release of UC within ORR timeframes. Within twenty-four (24) hours of placement, the CM will conduct and provide UC with a program orientation. The CM will work collaboratively with the designated Clinician to address the immediate needs of the UC through the development of the UC Assessments. The CM will work with the designated Clinician to develop safety plans for UC when: a history of abuse is identified; there is specific need identified (medical, physical, or behavioral), or when situations involving non-routine events take place that involve UC in care. The CMs plan for the safe and timely release of UC by gathering required information, verifying family relationships, requesting supporting documentation, and screening for risk and exploitation. Within twenty-four (24) hours of the identified sponsor, the CM will send the sponsor the FRP (family reunification packet).

They are also responsible for the submission of service plans and other assessments required for the compiling of a comprehensive case file as per HOH’s policies and protocols.  The Case Managers are required to maintain a flexible, organized, and efficient work schedule and is subject to work extended hours, weekends, and be on-call.

Essential Functions:

  • Maintains communication with the designated Clinician to ensure all UC identified to be at risk or a victim of sexual abuse or sexual harassment, are appropriately referred and provided with in care and aftercare services. Based on information obtained, a release recommendation is identified.
  • Maintains contact with Case Coordinators regarding status of release recommendations, and to identify transfer recommendations for UC who do not meet placement criteria.
  • Document the Safety and Well Being Follow-Up Call and report any safety concerns in accordance with ORR Safety and Well Being Follow-Up Call.
  • Ensure the placement in care is appropriate and services provided meet the needs of the UC, CMs will have weekly interaction with UCs.
  • Ensure ORR safe and timely release policy revisions are appropriately implemented within required timeframes.
  • Tracks and monitors each UC’s progress to ensure the full range of program services are provided in an integrated and comprehensive
  • Collaborate with the Reunification Specialist to provide guidance and maintain current on ORR policy and release requirements to ensure timelines are met
  • Maintain ongoing communications with the PSA Compliance Manager to ensure all relevant in care and after care services are provided to UC, in accordance with ORR PSA Policy.
  • Serve as primary liaison between ORR, DHS, Border Patrol, legal services and Immigration Court.
  • Plan and coordinate internal departmental meetings, case staffing, repatriations, attorney-UC visits, LOPC appointments and referrals to the Young Center for Immigrant Children’s Rights.
  • Manage the safe and timely release process, conduct monthly random file audits, maintain knowledge of all serious incidents (SIRs), review safety plans, assist in the coordination of the HOH Evacuation Process.
  • Communicate all placement referrals with Lead Clinician and remain on call.
  • Submit daily reports to ORR including the daily capacity count (as maintained by YCWDECM), daily medical/special needs report, reunification and discharge reports and safe and timely release case status.
  • Ensure that the continuation of services, case management and reunification services will be provided 7 days a week.

  • Attend all departmental and program meetings to ensure that up-to-date information is received and/or information of policy changes or practice are adhered to.

Job Summary: 

Hands of Healing’s Clinicians you will conduct assessments and screenings, develop safety/supervision plans, and monitor the mental health and overall wellbeing of UC within their caseloads. The Clinician will provide services in accordance with ORR and DFPS guidelines. The Clinician provides screening of the UC’s skills and special interests, current and previous placement needs and goals, and whether the UC was a victim of physical or sexual abuse (documented under Child Protection) or has a qualifying disability (as defined in Section 3 of the ADA Act using the Checklist of Impairments that Substantially Limit Life Activities screening documented under Other Significant Issues).

The clinician’s functions are performed as part of a multi-disciplinary team and include development and implementation of client therapeutic plans, facilitating transfers, and reunification planning.  All duties will be performed based on education, training, and certified counseling experience within the social service field. Hands of Healing’s Clinician team members are subject to work extended hours and weekends, and to be on-call.

Essential Functions:

  • Evaluate all screening findings and identify UC needs, assess placement needs, and make the necessary recommendations for the ongoing care of UC.
  • Maintain Case Managers informed of all assessment and screening findings and collaborate to identify the release recommendations in the best interest of UC. Due to compliance requirements involving reporting serious incidents involving UC, documentation and communication is maintained in the UC’s file and inputted into the UC Official System of Record.
  • Collaboratively with the Case Manager, complete the UC Assessment within the required ORR timeframes.
  • Provide notifications regarding serious incidents are submitted via email to program administration and ORR on a daily basis.
  • Work in partnership with the Case Manager to assess safety concerns and identify suitable release options for UC to meet required timeframes.
  • Assist Case Managers in the identification of release recommendations that are in the best interest of the UC.
  • Provide support and guidance to program staff to appropriately address the special needs of UC in care. These instructions include specific information about the UC, level of supervision required, discipline techniques, and behavioral intervention techniques, along with special conditions necessary to meet the special needs of UC (e.g., medications, medical care, dietary needs, psychiatric care, how to communicate with the UC, and reward systems).
  • Conduct intake, admission, and diagnostic assessments with clients, and document results according to Hands of Healing’s standards.
  • Collaborate with treatment team members and clients to develop treatment plans.
  • Facilitate psycho-educational and therapeutic client groups (if applicable to your clinician role)
  • Continually monitor the mental well-being of clients and arrange for appropriate services as needed.

Hand of Healing’s Case Management Data Entry Clerk is responsible for supporting our Case Manager and Reunification Specialist departments within our organization.  As the CMDEC you will be responsible for maintaining and uploading information into the UC Official System of Record and the maintenance of UC case files and the coordination of incoming documentation submitted by identified sponsors.  Clerk, you will be responsible for the overall management of administrative, clerical, and operational functioning of those departments. All duties will be performed based on professional training and experience with minimal supervision. The Clerk is a full-time position, directly supervised by the Case Manager or Designee and is subject to work overtime.

Job Summary: 

Hands of Healing’s Food Service Cook (FSC) will report to the Food Service Manager and will be responsible for planning and cooking meals for the nutritional needs of all UC.  The FSC will assist in the responsibility for ensuring the kitchen is in compliance with county and state level health codes. The FSC will hold a Food Manager’s Certificate and be able to work one of two shifts starting at 5:00 a.m. and ending at 9:00 p.m., 7 days a week.

Essential Functions:

  • Prepare three (3) complete meals and one (1) snack for all UC daily.
  • Prepare supplementary meals for newly arrived UC and UC who are in-transit (under DHS custody). 
  • Responsible for completing daily inventory of food, meal temperature logs, washing dishes, and assisting in keeping the kitchen areas clean and safe.
  • Responsible for maintaining food storage and transporting all items needed for daily food preparation.
  • Assist with the development of weekly menus to provide a variety of nutritious meals to UC. 
  • Assist with ensuring menus are considerate of the traditional cuisine customary to UC in care. 
  • Assist FSM with ensuring maintaining a well-stocked kitchen.
  • Maintain a clean, safe, and hazard-free dining room and kitchen facility at all times.
  • Assist with ensuring that the kitchen is in compliance with health department standards.
  • Make suggestions to the FSM for following seasons.
  • Assist with ensuring food is stored and cooked at correct temperature by regulating temperature of ovens, broilers, grills, and roasters.

Job Summary: 

Hands Of Healing’s Maintenance Team consists of a Maintenance Grounds Keeper (MGK) and a Maintenance General Maintenance Worker (MGMW) and they are responsible respectfully as follows:

The Maintenance-Groundskeeper (MG) will be primarily responsible for conserving the program’s landscaping, to include cutting lawns, trimming trees, removing debris from walkways, maintaining and accounting for all lawn equipment, and keeping the storage room organized. The MG will also respond to maintenance work orders regarding the facility grounds. The position will include regularly monitoring and participating in the ongoing maintenance of the shelter. The MG will immediately notify the Maintenance Manager of any safety concerns.

The Maintenance General Maintenance Worker (MGMW) will be responsible for providing general carpentry needs, inspecting and maintaining plumbing, inspecting and providing general air-conditioning maintenance, with minor repairs conducted as needed. In addition, they will assist the Maintenance Manager in ensuring all facility structures are in compliance with state and local building, fire, health, and safety codes. They will also maintain all outside generators to ensure availability of electrical power in case of power outages. MGMW will be responsible for receiving and stocking of all delivered supply items. They will be responsible for assembling all office furniture and assisting personnel with office relocation, as needed. The MGMW will also maintain a current inventory of tools, account for all maintenance equipment, and ordering supplies for the maintenance department. The MGMW will be responsible for all preventative maintenance of HOH vehicles; including ensuring vehicles are clean, properly fueled, have the required factory maintenance, license plate tags and inspection stickers are current, and ensuring vehicles are fully operational. The MGMW will immediately notify the Maintenance Manager of any safety concerns. They will be responsible for responding to all after hour maintenance emergencies.

Both of these positions are staffed with individuals who recognize that they must be flexible as it pertains to hours, as they responsibilities to call for them to be “on call”. 

Other Essential Functions:

  • Assist with overseeing facility maintenance, vehicle maintenance, security repairs of the facility’s buildings and could be called upon to assist with the construction of additional structures within shelter grounds (if applicable to your specific Maintenance role).

Hands of Healing’s IT Specialist (ITS) will provide management of the program’s network, computers, software, systems, and technology. The ITS will be current on technological innovations to ensure the efficiency of the network and the HOH database.  The ITS will also oversee the ORR UC Official System of Record and maintain communication with the ORR Systems Administration.  This individual will also train program staff to be efficient with the HOH database and ORR UC Official System of Record.

Job Summary: 

Hands Of Healing’s Lead Case Managers will oversee the implementation of services in accordance with ORR safe and Timely Release Policy.  They are also responsible for the submission of service plans and other assessments required for the compiling of a comprehensive case file as per HOH’s policies and protocols.  The Case Manager is required to maintain a flexible, organized, and efficient work schedule and is subject to work extended hours, weekends, and be on-call.

Essential Functions:

  • The LCM will provide oversight of the Case Management Department including all work submitted by the Co-Lead Case Manager, Case Manager, Reunification Specialist, Data Entry Clerks, Administrative Assistant, and the Reunification Records Clerk.  
  • Provide supervision and direction to Case Managers, conducts reviews of files to verify safe and timely release services are documented in the case file.
  • Monitor compliance and implementation of program services.
  • Ensure ORR safe and timely release policy revisions are appropriately implemented within required timeframes.
  • Collaborate with the Reunification Specialist to provide guidance and maintain current on ORR policy and release requirements to ensure timelines are met

Job Summary: 

Hands of Healing’s Lead Clinician and Clinicians will be responsible for providing mental health assessment and counseling intervention services, as well as continually monitoring and documenting clients’ mental well-being and overall adjustment to the program. The clinician’s functions are performed as part of a multi-disciplinary team and include development and implementation of client therapeutic plans, facilitating transfers, and reunification planning. All duties will be performed based on education, training, and certified counseling experience within the social service field. Hands of Healing’s Clinician team members are subject to work extended hours and weekends, and to be on-call.

Essential Functions:

  • Coordinate clinical services by providing oversight, supervision, and training of staff clinicians, monitoring clinical services documentation, and developing and maintaining ongoing partnerships with community-based providers.
  • Conduct intake, admission, and diagnostic assessments with clients, and document results according to Hands of Healing’s standards.
  • Collaborate with treatment team members and clients to develop treatment plans.
  • Facilitate psycho-educational and therapeutic client groups (if applicable to your clinician role)

Job Summary: 

Hands Of Healing’s Licensed Vocational Nurse will be responsible for the supervision and management of the medical department, reporting to the Assistant Program Director.  This individual will use sound medical and professional judgment and best practices to support the medical, safety and well-being of every child in care.  He/She is also responsible for maintaining compliance with established state nursing and licensing regulatory agencies, and federal standards requirements. The LVN is directly responsible for medical care of the children to include, but not limited to well child visits, immunizations, sick child visits, documentation, supply inventory and ordering.

Essential Functions:

  • Perform nursing duties at designated site(s) in accordance with nursing guidelines and best practices established by the Texas Board of Nursing for Registered Nurses.

Job Summary: 

Hands Of Healing’s Maintenance Manager & Personnel is responsible for maintaining the facility in a functional, presentable, and safe condition. These positions are staffed with individuals who recognize that they must be flexible as it pertains to hours, as they responsibilities to call for them to be “on call”. 

 Essential Functions:

  • Responsible for overseeing facility maintenance, vehicle maintenance, security repairs of the facility’s buildings and supervise the construction of additional structures within shelter grounds (if applicable to your specific Maintenance role).
  • The MM and Maintenance team will ensure the facility structures follow all state and local building, fire, health and safety codes.
  • The Maintenance team will coordinate the program’s emergency preparedness for the event of a needed evacuation.

Job Summary: 

Hands Of Healing’s Medical Assistant (MA) is responsible for providing first aid care to UC, scheduling appointments with specialists, coordinating vision and hearing screenings for each UC, and transporting UC to and from these appointments. MA will ensure all UC referred by other program departments, are provided with follow-up appointments with the licensed medical provider. MA will communicate with the Medical Service Coordinator the medical needs and progress of UC, and secure medical care for UC in emergency cases. He/She is also responsible for maintaining compliance with established licensing regulatory agencies, and federal standards requirements.

Essential Functions:

  • Responsible for interviewing UC and documenting medical/personal information in UC medical charts.
  • Provide administration of medication for each UC.
  • Work closely with the LVN to ensure all medications are administered in accordance with the prescribing physician’s instructions.
  • Maintain current on all medication training, to include dispensing medication, monitoring UC for medication side effects, etc.
  • Monitor UC during dispensing of medication to ensure medication is applied/taken in accordance with prescription instructions.

This individual will use sound medical and professional judgment and best practices to support the medical, safety and well-being of every child in care.  He/She is also responsible for maintaining compliance with established regulatory agencies, and federal standards requirements.

Job Summary:

The Youth Care Workers’ primary responsibility is to provide supervision of UC vital to ensuring a safe and secure environment for UC in care.  YCW will provide ongoing supervision of UC during all program activities. The YCW staff are essential in providing UC with supervision, recreation, and assisting with orientation, education, and transportation during their placement in care.  The YCW staff schedule will ensure twenty-four (24) hour continuity of supervision and care.   

In addition, per DFPS all licensed childcare facilities are required to employ and schedule adequate number of staff to meet the needs of UC in care. DFPS Minimum Standards of care indicate licensed operations consider the age, medical, physical, and mental health conditions of UC in planning staffing patterns. DFPS also requires licensed facilities to account for employee absenteeism, hours of coverage, UC outings, medical appointments, hospitalization, specialized supervision needs, safety concerns, and dormitory structure. For this reason, HOH will implement a staffing ratio in consideration of the activity, setting, and UC supervision needs (e.g., 6:1 for off campus activities, and a ratio of 16:1 during the night). 

Essential Functions:

  • Conduct intake services to include but not limited to: completing necessary paperwork, providing youth with an overview of the program services for initial placements of youth into the shelter.
  • Provide basic needs to youth upon arrival to the program (this includes but is not limited to: meal, clothing, hygiene products, shower, and bedroom assignment).
  • Must provide Direct Care Services to youth to ensure that ratios and appropriate supervision levels are continuously met as per state and federal requirements.
  • Develop positive rapport with youth while serving as a role model to create a safe and caring environment.

  • While it is uncommon, all staff must be physically and mentally able to manage youth who become uncooperative, sick, violent, or display any other form of harmful or threatening behavior.

ORR staffing ratios policy indicates one (1) Youth Care Worker for every eight (8) UC during waking hours, and one (1) Youth Care Worker for ever sixteen (16) UC during sleeping hours must be available to provide appropriate supervision of UC. Work shifts are subject to change.

Job Summary:

The Youth Care Shift Supervisor (YCSS) will be responsible for oversight of childcare department and the provision of daily supervision of UC. The YCSS will be responsible for the supervision of Child Care staff including oversight of staff to UC ratio to ensure the department is adequately staffed to provide supervision, in compliance with ORR Policies and Procedures, child welfare practices, and Minimum Standards. The YCSS will conduct regular visual monitoring of staff and communicate any concerns with Program Administration.  

The YCSS primary responsibility is to provide supervision of UC vital to ensuring a safe and secure environment for UC in care.  

Essential Functions:

  • Oversee the coordination of transportation of UC to appointments and off campus outings to ensure timely transport and safe return of UC to and from the program.
  • Oversee the Reunification Transportation staff and coordinate the delivery of this service to UC discharged from the program.
  • Coordinate the proper completion of capacity management to ensure appropriate discharge of UC in the UC Official System of Record as determined by ORR Policy and Procedures.
  • Conduct monthly meetings and training for childcare staff, providing support and guidance, reviewing performance evaluations, and completion and reporting of SIRs.
  • Provide oversight of staff performance and disciplinary needs in conjunction with program administration.

Job Summary: 

Hands Of Healing’s PSA Compliance Manager (PCM) is responsible for managing implementation and ongoing compliance with the HHS IFR: Standards to Prevent, Detect, and Respond to Sexual Abuse and Sexual Harassment Involving Unaccompanied Children (45 CFR Part § 411) and ORR policies and procedure related to sexual abuse and harassment. The PCM will be the primary liaison/point of contact for ORR’s PSA Coordinator regarding all standards contained within ORR’s Section 4 Preventing, Detecting, and Responding to Sexual Abuse and Harassment. The PCM will work with the ORR PSA Coordinator, the designated FFS, the designated PO, and the Program Director, to implement ORR PSA policy and ensure ongoing compliance.  The PCM will collaborate with a multidisciplinary team of staff experienced in the provision of programmatic services and knowledgeable of child welfare practices.

  • Responsible for responding promptly to all ORR requests.

Hands Of Healing’s Reunification Specialist (RS) will provide assistance to the Case Managers in the ongoing identification of release options for UC within the program. The RS will maintain communication with the Lead Case Manager to facilitate the safe and timely release of UC. The RS will maintain abreast of all changes and updates in ORR safe and timely release Policy and Procedures. The RS is required to maintain a flexible, organized, and efficient work schedule and is subject to work extended hours, weekends, and be on-call.

Essential Functions:

  • Assist Case Managers with complex cases, and communicate with UC and identified sponsors, to identify safe and timely release options.
  • Attend all staffing with ORR/FFS, and program departments.
  • Assist the Lead Case Manager in the monitoring of all UC’s files, to include review of completed Family Reunification Packet (FRP) for release recommendation submittal.

Hands Of Healing’s Reunification Transport Supervisor (RTS) directly oversees the safe and expedited transportation of UC who have been discharged from UC care. The RTS will work closely with the Reunification Specialist to coordinate trip assignments, t asks, schedules, and other related functions of the safe and timely transportation of UC who have been discharged from care.

  • Construct vocational course and curriculum subject areas approved by Program Director or Designee which introduces youth to career choices (if applicable to area of educational coverage).
  • Maintain a grade book record of student’s academic progress for the report card development.
  • Meet departmental and program deadlines to ensure contractual compliance with reporting requirements.
  • Attend all organizational required trainings and trainings that will enhance professional growth in the area of Education and/or Vocational curriculum and instruction with pre-approval from program director or designee.
  • Attend all departmental and program meetings to ensure that up-to-date information is received and/or information of policy changes or practice are adhered to.
  • Plan and coordination with Program Director or Designee special educational events to include such as but not limited to: science fairs, acculturation activities, visits to museums and water conservation center (if applicable to area of educational coverage).
  • Coordinate Student Council Activities and other meaningful experiences for Hands of Healing learners which promotes volunteerism and community.
  • Must assist in the evacuation of youth as needed due to inclement weather conditions, natural disasters, or other unforeseen occurrences.
  • Willing to travel if needed for trainings, conferences or to transport youth to destination if reunified within the U.S.
  • Must annually maintain any professional or para-professional certifications acquired while employed with Hands of Healing.
  • Always ensure the proper supervision of youth.
  • Able to professionally and productively react to change and handle other essential tasks as assigned.

Qualifications:

  • Bachelor’s degree required in the field of Education or related field (applicable for Lead Teacher and Teacher).
  • 1-2 years of paid or unpaid experience teaching youth in a bilingual setting preferred.
  • Must be computer literate with working knowledge of Microsoft Windows (Word Perfect, Microsoft Word, Excel)
  • Must be able to work a flexible work schedule.
  • Cleared Tuberculosis test results.
  • Cleared pre-employment and random drug test results.
  • Bilingual (English/Spanish)
  • Must be able to communicate verbally and in writing (English/Spanish)

Physical Demands:

Must be able to obtain and perform Emergency Behavior Intervention Training (EBI)/Crisis Prevention Institute (CPI) certification and First Aid Certification (CPR).  Must be able to supervise clients indoors and outdoors as necessary. Bending, stooping and lifting up to 20lbs required to complete daily tasks. Involves walking and standing for extended periods of time.

Work Environment:

Work is at youth care facility at which minors receive multiple services. Work shifts are subject to change to meet the needs of the program. Predominantly indoors, occasional outdoor monitoring or activities.

Job Summary:

Hand of Healing’s Training Assistant is responsible for supporting the Director of Education and Training and Planning and Development.  This role will ensure a safe, caring, and productive atmosphere for all HOH programs which include the Youth Program and the Foster Care Program.

Responsibilities also consist of updating and maintaining training records as well as administrative duties including data entry, answering phones, scanning, copying, and other related duties. The TA will provide clerical support with correspondence, records, reports, files, maintaining records of monitoring visits, copying, collating information, note taking, ordering, and any other related duty to keep the office running efficiently. The TA will work a flexible schedule and will be available to work extended office hours as needed.

Essential Functions:

  • Reports to and is responsible for the completion of tasks assigned to him/her by the Director.
  • Responsible for updating and maintaining training records as well as gathering and organizing training resources for current and future trainings.
  • Develops visual aids and training materials and develops, updates and submits training absence reports.
  • Responsible for the archiving of programmatic record for all HOH programs to include Programmatic Team monitoring visits, DFPS inspections and monitoring, city and county inspections and copies of permits issued by DFPS.
  • Assist with CPR/First trainings and other trainings (as requested), keeping accurate and concise records.
  • Handle administrative tasks which include but is not limited to data entry, answering phones, scanning, copying and any other related duty.
  • Maintain office by ensuring it run efficiently, which includes ordering of supplies
  • Provide support with correspondence, records, reports, files for all HOH programs.
